Instructions for Telecommunications Order Forms

Form 6 -- Auto Attendant Detail

Automated Attendants are voice mail attendants built and maintained by the Telecommunications Dept. which provide callers with a list of choices for the caller to access, including phone lines of live "users", voice mail boxes, bulletin boards, etc. The system will default to another specified extension to accommodate rotary phone users or callers to dial 0. Most of us have been caught in Auto Attendants or ACDs for other institutions or companies and know the frustration and anger of never talking to a "Real Person". As a result, the University of Oregon makes every effort for the Zero out (or in the case of a rotary phone to time out) and that default SHOULD BE A LIVE ATTENDANT.

The Auto Attendant Detail form must accompany Form 3 on any addition, deletion or modification of each Auto Attendant. If this is a new AA, you must also have Form 1a. This form diagrams how the Attendant will function, which extensions are associated with it and how each extension will be addressed in the Attendant's Outgoing message.

Action Code

  • A = Add
  • C = Change an existing AA, please indicate just the information that is changing.
  • D = Delete

Auto Attendant Extension Number

For Changing or Deleting an AA, please use the existing number.

For Creating a new AA, use the same nn1, nn2, etc. designation that you used on Form 1a and Form 3. Telecommunications will assign the new number and return the information to you.

User Prompts Digit Dialed, 1-9

You have up to nine (9) programmable selections or routes on an AA and one mandatory Zero Out option. The programmable selections may be extensions, bulletin boards or even other Auto Attendants, but the Zero Out option needs to go to a Live Answer during working hours.

Extension called -- this is the number that the caller will be transferred to when they press the associated digit.

Function Description -- this is the exact wording that the caller will hear to describe who or where the caller will be transferred to when they press that digit. Make each description concise and short.

Default Covering Extension: the Zero out or Time out option, usually a Departmental main number or a Live Answer position.

Time-out to Covering Extension on Failure to Dial (designed to deal with non-touch tone phones): The number of seconds that the caller is allowed to make a choice before they are transferred to the default covering extension.
