Instructions for Telecommunications Order Forms

Form 3 -- Call Coverage Assignment and Voice Mail Information Detail

This form designates the call coverage path (CCP) for each extension as well as Voice Mail information. Please note that each data field type is identified by a number located above the field name.

  1. For Adds -- fill in all the fields except for field 11.
  2. For Changes -- fill in fields 1, 2 & 3, and then only the fields with information that is changing.
  3. For Deletes -- fill in fields 1, 2 & 3 only.

Field 1 -- Action Code

  1. A = Add
  2. C = Change
  3. D = Delete

Field 2 -- Extension Number

The extension number that is being affected by this addition, change or deletion. For new number assignments, please use the same nn1, nn2, nn3, etc. that you used to identify the new number on Form 1a and all other associated forms.

Field 3 -- Name

Use the exact name you assigned to this extension number or new number from Form 1a.

Field 4 -- Criteria

  1. B = Busy. Calls will follow the coverage path if the user is on their phone. Callers will NOT hear a busy signal.
  2. D = Don't Answer. Calls will follow the coverage path if the user does not answer their phone after a specific interval. Callers WILL hear a busy signal if the extension is in use.
  3. DB = Busy & Don't Answer. Calls will follow the coverage path if the user is on their phone OR if they do not answer. Callers will not hear a busy signal.

Field 5 -- Don't Answer Interval

Options are 2, 3, 4, 5 or 6 rings. Standard choice is 3 to 4 rings before going to coverage.

Fields 6, 7, & 8 -- Coverage Path

These fields indicate the three possible points of coverage.

  1. You may use one, two or three of these points.
  2. If you have Voice Mail associated with the line, it must be the LAST point in the path.

Field 9 -- Voice Mail Web Access

Access your voice mail messages via internet web browser. $1.00 per month.

Field 10 -- Voice Mail Class of Service

Voice Mail Boxes

  • 1 = 20 day retention.
  • 2 = 30 day retention.
  • 3 = Bulletin Board, greeting only, will not accept or record incoming messages.
  • 11 = Automated Attendant. If this is marked, please include Form 6 with this order.

Voice Mail has a limited capacity, so most voice mail boxes will be assigned as One (1). Please call the Telecom Help Desk, 346-NETS, if you need a larger box.

Field 11 -- "0" (Zero) Out of Voice Mail

  1. This is the covering extension for the Voice Mail feature in the event the caller presses "0", preferably to a "Live Attendant" rather than an Automated Attendant.
  2. This is not optional -- it is not possible to turn off this feature, therefore you must specify where the calls will route to.

Field 12 -- Coverage Path Code, LEAVE THIS BLANK. Telecommunications will assign the code.
